NudgeAgain is made by Mako Logics LLC ("we", "us"), a Texas company. This policy explains what NudgeAgain does with your information. NudgeAgain connects to your Microsoft 365 mailbox, so we have tried to be exact about it.

What NudgeAgain reads in your mailbox

  • Emails in your Sent Items: their subject, recipients, send time, Outlook categories and conversation id. This is how NudgeAgain sees which emails you tagged for follow-up. It reads sent emails from the two days before you connect and everything after.
  • New emails arriving in your Inbox: who sent them, when, and which conversation they belong to. NudgeAgain only looks further at an incoming email when it belongs to a conversation you are having followed up.
  • Emails in a conversation being followed up: before each follow-up, NudgeAgain reads the messages in that conversation (sender, time, subject, the short preview Microsoft provides, and the message headers) to find out whether anyone replied, whether the reply was an automatic out-of-office, whether an email bounced, and whether someone asked not to be contacted again.
  • Your mailbox settings: your time zone and working hours, so follow-ups go out when you would normally be working.
  • Your Outlook categories: NudgeAgain adds categories named "NudgeAgain · …" to your Outlook and removes them when you stop using a sequence or delete your account.

NudgeAgain does not read the rest of your mailbox and does not copy your emails. It does not use your email to train AI models, to advertise to you, or for anything except running your follow-ups.

What NudgeAgain sends

Only the follow-ups you set up: replies in the same conversation, from your own mailbox, to the people the original email went to. When a sequence step is a reminder, NudgeAgain flags the original email in your Outlook instead of sending anything.

What we keep

  • Your name, work email address, and the ids Microsoft gives your account and your company.
  • Your Microsoft sign-in tokens, encrypted with AES-256-GCM using a key held separately from the database. They let NudgeAgain act for you between sign-ins.
  • For each email being followed up: its subject, recipients, send time and Microsoft ids, which sequence it uses, and what happened (follow-ups sent, replies noticed, who replied and when).
  • The text of each follow-up NudgeAgain sent or is waiting to send.
  • Your sequences, rules, lists and settings, and your company's list of people who asked not to be followed up or whose address bounced.
  • For people you email: the UTC time offset their own emails carry, so follow-ups don't land in the middle of their night.
  • Counts of follow-ups sent, for plan limits.
  • Technical logs of errors (without email content), kept for up to 30 days for engine runs and up to a year for errors.

Who else handles it

We use these service providers to run NudgeAgain, each only for that purpose:

  • Microsoft: your mailbox lives there; NudgeAgain reaches it through Microsoft Graph with the permissions you approved.
  • Vercel (hosting) and Supabase (the database, in the United States).
  • Cloudflare (the domain and our support mailbox).
  • Stripe, if you buy a paid plan (payment details go to Stripe, not to us).

We don't sell or rent personal information, and we don't share it for advertising.

The website

Signing in sets a cookie that keeps you signed in; there are no advertising or tracking cookies. To see how the site is used, we count page views (the page, the referring website and the country, with nothing that identifies you) and use Vercel's cookie-free analytics.

Deleting your data

In NudgeAgain, go to Settings and choose Delete my account and data. That disconnects your mailbox, removes NudgeAgain's categories from your Outlook and deletes everything we hold about you straight away (when the last person at a company leaves, the company's lists and sequences go too). Emails already sent stay in your mailbox, because they are yours. You can also withdraw NudgeAgain's access in your Microsoft account at any time; it then stops working for you until you sign in again. Or email us and we'll delete it for you.

Your rights

You can ask to see, correct or delete the personal information we hold about you by emailing support@nudgeagain.com. California residents have these rights under the CCPA and CPRA, including the right to know what we collect and the right not to be discriminated against for using them; we honor the same requests from everyone. We don't sell or share personal information as those laws define it.

Children

NudgeAgain is a business tool for work Microsoft 365 accounts and isn't meant for children under 13. We don't knowingly collect their information.

Security

Connections are encrypted. Microsoft tokens are encrypted at rest, the database accepts NudgeAgain's app only through its own restricted login, and our staff admin panel needs a password and an authenticator code. If something ever goes wrong with your data, we will tell you without unreasonable delay.

Changes and contact

If we change this policy, we'll update the date above, and for anything significant we'll tell signed-in users first. Questions: support@nudgeagain.com, Mako Logics LLC, Texas.
